The role

We're looking for an experienced Medical Secretary to support our Haematology consultants and Practice Manager at The London Clinic on a 14-month fixed term contract.

You'll manage consultant diaries, coordinate clinics and procedures, prepare clinical correspondence and support billing and payments. As a key contact for patients, you'll handle enquiries professionally and sensitively, working closely with colleagues to keep the practice running smoothly.

You'll work closely with our consultants, building trusted working relationships and providing the secretarial support they rely on throughout the day.

From preparing for clinics and booking procedures to arranging investigations and following up treatment approvals, you'll help ensure each stage of a patient's care is organised. You'll also manage correspondence, raise invoices and take payments, keeping records accurate and outstanding actions moving.

As part of a small team, you'll work closely with the Practice Manager, keeping them informed of daily priorities and any issues that need attention. The pace and priorities can change quickly, so you'll need to be organised, adaptable and confident communicating with patients, clinicians and external organisations.

What you'll do

  • Managing consultant diaries, including clinics, theatre procedures and meetings, and communicating changes promptly.
  • Booking appointments and preparing for clinics, ensuring patient notes, results and relevant documentation are available beforehand.
  • Working with consultants, nurses and hospital colleagues to support the smooth running of clinics and follow up agreed actions, including further appointments, investigations and diagnostic tests.
  • Coordinating bed and chemotherapy bookings, liaising with hospital teams to confirm arrangements.
  • Responding to patient calls and emails promptly and professionally, handling sensitive conversations with empathy and directing clinical concerns to the appropriate colleague.
  • Preparing, proofreading and sending dictated clinical correspondence, ensuring it is accurate and filed against the correct patient record.
  • Raising invoices, taking payments from patients funding their own care, providing procedure cost estimates and following up outstanding payments when requested by the Practice Manager.
  • Liaising with insurers and embassies to obtain approvals for planned treatment, and completing documentation and billing for organisations.
  • Keeping patient records and financial information accurate, maintaining confidentiality and supporting colleagues with the daily running of the office.
