The UCL Higher Education Development & Support Institute (HEDS) brings together UCL Arena and UCL Careers within the Office of the Vice Provost (Education & Student Experience). Together, we support excellence in education and student experience, while helping students and graduates develop the skills, knowledge and opportunities they need for their futures.
UCL Careers provides careers information, internships and vacancies services, guidance and events to current UCL students, researchers and recent graduates. Our work with employers and recruiting organisations helps connect our students and graduates with opportunities and supports their engagement with the labour market.
We are looking for an Internships & Vacancies Administrator to join our Careers team on a secondment cover basis until July 2027. This is an opportunity to contribute to a busy, student-focused service, working with employers and colleagues across UCL to support the delivery of our central internship and vacancy services.
As an Internships & Vacancies Administrator, you will provide administrative and customer-facing support across our central internships and vacancies services. You will be a key first point of contact for employers looking to advertise jobs and internships to UCL students and graduates, helping them understand our services and identifying the most appropriate ways for them to engage with our student community.
Working as part of a collaborative team, you will manage enquiries through a shared inbox, provide advice to recruiters by email and Teams, and work with colleagues across employer engagement to ensure enquiries are directed appropriately. You will also review and approve employer and vacancy information on our careers management system, ensuring opportunities meet UCL's advertising policies and relevant requirements.
You will maintain accurate employer and opportunity information on myUCLCareers (TargetConnect), support vacancy reporting and help promote internships and other opportunities through our jobs board. You will also provide administrative support across specific services, including the UCL Talent Bank shortlisting service and the Careers Extra Summer Internship scheme.
This is a varied role that would suit someone who enjoys working with people, has strong attention to detail and is interested in supporting students and employers within a higher education careers environment.
Please note, this role is offered on a fixed-term contract basis until July 2027. This role does not meet the requirements for a Skilled Worker visa certificate of sponsorship under UK Visas and Immigration legislation. UCL will not be able to sponsor individuals who require a right to work in the UK
Job Ref: B06-00213
Closing Date: 22-10-2026 - 23:59 (UK time)
We are looking for an organised and customer-focused professional who can communicate confidently with a range of audiences, both in writing and verbally. You will have excellent organisational skills, with the ability to manage competing priorities, work accurately and remain calm when working to deadlines.
You will have good IT skills, including experience of using Microsoft Office, spreadsheets and databases to manage information, contacts or recruitment-related activity. Strong attention to detail and a commitment to providing a high-quality service are essential.
Experience of working in a higher education careers, placements, internships or graduate recruitment environment would be advantageous, as would experience of administering internship or placement schemes or working with recruiters. An understanding of the graduate labour market and experience of liaising with employers would also be desirable.
Above all, you will be committed to equality, diversity and inclusion and enjoy working collaboratively as part of a team. You will understand how your work contributes to the wider service and the experience of our students, graduates and employer partners.
