The role

You are a highly organised, proactive and experienced professional who enjoys working in a fast-paced environment where priorities can change quickly. You are confident managing a complex executive diary and understand that effective diary management is about much more than scheduling meetings - it requires judgement, diplomacy, curiosity and a clear understanding of priorities.

You are comfortable working with senior stakeholders and have the confidence to build trusted relationships while remaining appropriately professional and discreet. You can communicate tactfully and assertively, including when you need to challenge a request, manage competing demands or protect senior leadership time. You have excellent attention to detail and can anticipate potential issues before they arise, while remaining calm and solutions-focused when unexpected changes occur.

You are someone who takes ownership, uses initiative and looks for ways to improve processes rather than simply following them. You enjoy working collaboratively and understand the importance of clear communication and strong handovers within a job-share arrangement and across a wider executive support team. You are also comfortable working across organisational boundaries and building positive relationships with colleagues at all levels.

Discretion and confidentiality are essential to the role, and you will be trusted to handle sensitive information with the highest level of professionalism. You will bring a warm, friendly and welcoming approach to the front-of-house aspect of the role, while being able to operate confidently in a high-profile environment involving senior internal and external stakeholders.

Most importantly, you will be a reliable and proactive partner to your job-share colleague, helping to ensure that the office operates smoothly and that the President & Provost's time is managed effectively.

What you'll do

This is a part-time job-share role, working 0.6 FTE from Monday to Wednesday from the office, providing high-level diary support to the President & Provost.

You will be responsible for managing the President & Provost's complex and demanding diary, ensuring that their time is prioritised effectively and that commitments are carefully balanced.

You will act as a guardian of the President & Provost's time, using initiative and sound judgement to manage competing requests, identify potential diary clashes or risks, and find practical solutions. You will need to understand priorities, build a strong working relationship with the President & Provost and have the confidence to challenge requests or say no when appropriate.

The role also involves coordinating meetings, events, travel, accommodation, venues and catering, as well as supporting overseas visits and ensuring the President & Provost has the information and logistical support needed to fulfil their commitments. You will maintain accurate office tools and systems and contribute to improving processes and ways of working.

Alongside diary management, you will provide ad hoc support and a professional, welcoming front-of-house service to visitors, staff and stakeholders. You will work closely with Executive and Personal Assistants across UCL's leadership teams and contribute to a collaborative wider executive support function.

This is an opportunity to work at the heart of a high-profile university office, supporting senior leadership in a fast-paced, complex and highly sensitive environment, while building strong relationships across UCL and contributing to the smooth running of the President & Provost's Team.

This role requires you to work on site from Monday to Wednesday of every week.
