The role
About us
UCL's Professional Services (PS) Hub brings together customer-facing and transactional services across HR, Finance, Estates, IT and Business Operations. We are committed to delivering high-quality, efficient services with a strong focus on customer experience.
Within the PS Hub, the Business Operations team provides a centre of excellence for administrative and executive support, working across UCL's Vice-Provost and Vice-President Offices to support the effective delivery of their priorities.
About the role
We are seeking two organised and proactive Executive Assistants to provide high-level support to one Vice-Provost or three Directors across UCL's Vice-Provost and Vice-President Offices. Reporting to the Executive Support Manager, you will manage complex diaries and inboxes, coordinate national and international travel, and liaise with senior colleagues and external partners.
You will organise meetings, committees, events and away days, prepare agendas, take notes and monitor actions, while handling confidential information with discretion. You will also support specialist projects, recruitment and staff induction, and work collaboratively with other Executive Assistants to provide continuity of support.
The role is based in London, with hybrid working available in line with UCL's arrangements and operational requirements.
If you have any questions about the application process or the role please contact Passant Khalifa (Senior Recruiter) at p.khalifa@ucl.ac.uk
About you
You will have experience providing senior-level administrative and secretarial support to multiple leaders within a complex organisation, including managing busy diaries and organising committee meetings and events.
You will bring excellent written communication skills, advanced proficiency in Microsoft Word, PowerPoint and Excel, and meticulous attention to detail. You will be able to manage competing priorities, maintain high standards under pressure and adapt confidently to changing requirements at short notice.
A proactive and collaborative approach is essential, alongside the ability to build strong working relationships, influence colleagues at all levels and exercise sound judgement when handling complex or sensitive matters. Experience within higher education or a research environment would be an advantage
Our commitment to Equality, Diversity and Inclusion
