About the Role

We're looking for an experienced and highly organised Executive Assistant to provide dedicated support to the Chief Client Officer, with a matrix reporting line supporting up to two Senior Directors within the directorate. This is a pivotal role that sits at the heart of the business, acting as a trusted partner to senior leaders and ensuring they can focus on strategic priorities and delivering against key business objectives.

You'll be the go-to person for coordinating complex schedules, managing communications, preparing briefings and supporting business initiatives. Working with highly confidential information, you'll build strong relationships across the organisation, anticipate needs before they arise and provide exceptional support in a fast-paced, dynamic environment.

What You'll Be Doing

  • Managing complex and constantly evolving diaries, ensuring leaders' time is prioritised effectively and aligned to strategic objectives.
  • Acting as a gatekeeper, handling requests, communications and stakeholder access with good judgement and discretion.
  • Preparing meeting briefings, agendas, papers and minutes, ensuring actions are tracked and delivered.
  • Managing inboxes and correspondence, including drafting responses, prioritising communications and following up on key actions.
  • Crafting high-quality presentations and business materials using Microsoft PowerPoint and other Microsoft Office applications.
  • Coordinating local, national and international travel arrangements, including itineraries, logistics and contingency planning.
  • Organising and delivering onsite and offsite meetings and events, acting as a key point of contact for attendees and visitors.
  • Processing expenses, purchase orders, invoices and supporting procurement-related activities.
  • Supporting team administration, including holiday approvals and absence management processes.
  • Assisting with projects and business initiatives, helping to coordinate timelines, meetings and stakeholder engagement.
  • Building effective relationships with senior leaders, Board-level stakeholders and colleagues across the business.
  • Handling sensitive and confidential information with the highest levels of professionalism, integrity and discretion.

About You

You'll be an experienced Executive Assistant who thrives in a fast-paced environment and enjoys working closely with senior leaders. You are highly organised, proactive and solutions-focused, with the confidence to make informed decisions and handle competing priorities. With outstanding communication and relationship-building skills, you'll be a trusted partner who consistently delivers high-quality support while maintaining absolute confidentiality.

Essential Criteria

  • Proven experience providing Executive Assistant support to Executive Directors, C-suite leaders or multiple senior stakeholders within a complex organisation.
  • Advanced diary, inbox and stakeholder management skills, with the ability to prioritise effectively and make sound decisions independently.
  • Strong proficiency across Microsoft Office applications, including Outlook, PowerPoint, Teams and Excel.
  • Excellent organisational, communication and relationship management skills, with the ability to handle sensitive information discreetly and professionally.

Desirable Criteria

  • Experience working within a regulated financial services environment.
  • Knowledge of the financial advice, wealth management or broader financial services sector, including an understanding of regulatory requirements and industry standard process.
