The role

Our mission is to break down the barriers of today to release the potential of tomorrow. Join us today and release yours.

About the role

This is a unique opportunity to provide high-quality, trusted support to the M&A Director and one or two other Directors within Strategy & Group Operations (S&GO). The Directors are members of BT's Senior Leadership Team, and you will also work closely with the wider S&GO Leadership Team and their Assistants. The allocation of leaders may evolve as the team's PA operating model develops.

You will provide a full range of administrative and professional support, liaising regularly with senior leaders and stakeholders across the business. You will provide efficient, well-organised support that enables your Directors to manage their commitments effectively, with diary and time management forming a significant part of the role.

Building a strong working partnership with each Director will be key. You will understand their individual working styles and agreed priorities, using sound judgement to organise their time, manage day-to-day diary demands and flag significant conflicts or capacity pressures early.

In a fast-moving environment, you will need to adapt quickly and find better ways of working, using Microsoft 365, collaboration and digital tools to simplify processes and provide effective support both in the office and remotely.

Diplomacy, discretion, confidentiality and trust are essential, particularly when handling sensitive strategic, commercial, transaction-related and people information. You will manage established responsibilities independently, anticipate routine support requirements and take appropriate initiative within agreed parameters, escalating more complex, sensitive or priority-related decisions when required

You'll have the following responsibilities

Time & Diary Management

  • Manage and coordinate complex diaries for multiple Directors, applying agreed priorities and maintaining clear, accurate and well-structured calendars with appropriate preparation, travel and task time.
  • Build a strong working relationship with each Director, understanding their working style and agreed priorities to anticipate routine requirements, resolve day-to-day diary conflicts and flag significant risks or capacity issues early.
  • Plan diaries ahead wherever possible, identifying scheduling requirements, conflicts and capacity pressures early and agreeing any significant reprioritisation with the relevant Director.

Meeting & Email Support

  • Coordinate agendas, papers and briefing materials, liaising with content owners to ensure materials are received, organised and available to Directors in good time.
  • Prepare, format and make routine edits to documents and presentations using Word and PowerPoint.
  • Coordinate meeting logistics, ensuring appropriate rooms are booked, visitors are registered and welcomed, and practical arrangements are in place.
  • Monitor inboxes as agreed, identifying urgent or time-sensitive items, responding to routine correspondence within agreed parameters and directing queries to the appropriate person.
  • Capture and circulate meeting actions where required, issuing reminders or requesting updates from named action owners.

Stakeholder Management & Collaboration

  • Build trusted relationships with senior leaders, colleagues and external stakeholders, acting as a professional first point of contact for the Directors.
  • Use sound judgement and effective working relationships to resolve day-to-day support issues, connect colleagues with the right contacts and suggest practical administrative solutions.
  • Work as an active member of the wider PA and EA community, sharing context and best practice, and providing effective cover for other PAs during periods of leave or absence to maintain continuity of support across the team.

Communication & Engagement

  • Coordinate the scheduling, logistics and administration for people calls, leadership events and agreed Director engagement activity, working with content owners responsible for the agenda and materials.
  • Communicate clearly and proactively with other Assistants and stakeholders to coordinate diaries, schedule meetings and ensure arrangements are understood and confirmed.

Technology & Operational Support

  • Maintain strong knowledge of BT systems and processes, ensuring key administration is completed accurately and in line with policy, including:
    • End-to-end UK and international travel planning and bookings for supported Directors.
    • Timely and accurate expense submissions and management for all supported Directors.
    • Purchase order administration for agreed projects, including supplier onboarding, raising POs from approved requests and following up supplier payment queries with the relevant teams.
  • Use Microsoft 365, Copilot and collaboration tools to work efficiently, simplify routine processes and improve ways of working.
  • Provide administrative and coordination support for onboarding, agreed team activities and occasional ad hoc requirements, flexing across the wider Assistant team where capacity allows.
You'll have the following skills & experience

We're looking for an experienced, highly organised PA with sound judgement, discretion and a desire to learn and develop.

Essential skills & experience
  • Proven experience managing complex diaries and competing priorities for senior leaders, including resolving conflicts, planning ahead and coordinating senior-level meetings.
  • Strong stakeholder management experience, with evidence of working confidently and professionally with senior internal and external stakeholders.
  • Demonstrable experience delivering high-quality executive support, including travel, expenses, confidential information and multiple competing deadlines in a fast-paced environment.
Desirable skills & experience
  • Previous experience in a PA, EA or similar senior business support role, ideally supporting Director-level leaders in a large, complex organisation.
  • Experience supporting multiple senior leaders simultaneously.
  • Strong Microsoft 365 skills, with experience using Copilot or other digital tools to improve efficiency and ways of working.
  • Experience with purchase orders, supplier administration or onboarding processes.
