We are looking for an organised, accurate and proactive Project Office Administrator to provide reliable administrative support to our Programme Management Office (PMO). This broad role has a particular focus on data quality, management information and effective project governance.
You will help coordinate programme and project activity, ensuring that records, reports and supporting information are accurate, up to date and available to support delivery and decision-making.
Key responsibilities
- Coordinate meetings, agendas, papers, minutes and action logs, and support PMO deadlines, reporting cycles and governance activity.
- Maintain accurate project, programme and portfolio information across PMO systems, trackers and registers.
- Check information for completeness, consistency and accuracy, and follow up missing or unclear details with colleagues and stakeholders.
- Coordinate information for reports and support the production of dashboards, charts, tables and concise summaries.
- Maintain organised document repositories, version control, naming conventions, logs and registers.
- Support assurance, audit and review activity by locating and providing reliable records.
About you
You will have experience of providing administrative or coordination support in a structured working environment, including maintaining accurate records or trackers, coordinating meetings or deadlines, and producing clear written documents or reports.
You will be confident using Microsoft Excel or similar spreadsheet software to organise, check and present data. Strong organisational skills, attention to detail, clear communication and the ability to manage competing priorities are essential. You should also be comfortable working with stakeholders, handling sensitive information appropriately, using initiative and escalating issues when needed.
Experience in a PMO, programme, project, performance, local government, public sector or regulated environment would be an advantage. Awareness of project lifecycles and governance, or experience with reporting and visualisation tools such as Microsoft Power BI, is also desirable.
If you are methodical, dependable, collaborative and committed to high-quality information and continuous improvement, we would welcome your application.
