The role
Our Balfour Beatty Highways business has a terrific opportunity for a Logistics Administrator to support the Design Engineering team in delivering projects related to our Lower Thames Crossing project.
The Lower Thames Crossing (LTC) is one of the UK’s most significant infrastructure projects. LTC is a new road that will connect Kent and Essex through a tunnel beneath the River Thames and will be the greenest road ever built in the UK - creating six times more green space than road. The reliable new route will almost double road capacity over the river east of London to reduce congestion and give millions of people more choice on where they live, work and spend their valuable time.
As a Logistics Administrator, you will provide administrative and coordination support to the Project Logistics Team, helping to maintain safe, efficient, compliant and sustainable logistics operations across the Lower Thames Crossing, Roads North project.
What you'll do
- Support the day-to-day administration of the Delivery Management System and Haulier App.
- Maintain accurate records of delivery bookings, collections, vehicle movements, approved routes, driver information and delivery outcomes.
- Follow up missing or inaccurate information and escalate exceptions or potential non-compliance.
- Monitor supplied compliance documentation and expiry dates, maintaining an accurate and auditable record.
- Record vehicle or driver non-conformances and support the monitoring of corrective actions through to completion.
- Coordinate the administrative elements of driver induction and onboarding, including project briefings, approved routes, restrictions and site requirements.
- Support compliance with relevant fleet and road-safety standards, including FORS and CLOCS requirements.
- Prepare accurate weekly delivery, fleet, telematics, geofencing, compliance and carbon reports within agreed timescales.
- Maintain organised digital records in accordance with company, project, audit and data-protection requirements.
- Use Microsoft Excel and other project systems to manage data, monitor actions and produce information.
- Identify opportunities to improve data quality, simplify processes and strengthen reporting.
- Maintain plant and asset registers, including information relating to asset marking, telematics devices, data tags and CESAR identification.
- Follow up missing identification, tracking, security or compliance information.
- Maintain accurate supplier, order, delivery and supporting logistics records.
- Provide administrative support for the Site-Specific Travel Plan and Travel Plan Coordinator activities.
- Prepare supporting information, record agreed actions and maintain evidence for Travel Plan Liaison Group meetings.
- Liaise professionally with project teams, suppliers, subcontractors, hauliers and fleet representatives to obtain information and resolve administrative queries
Who we're looking for
- Experience in an administrative, logistics, transport, fleet, plant, compliance or related operational environment, or other relevant transferable experience.
- Confidence using digital systems, databases and Microsoft 365, including intermediate Microsoft Excel skills.
- Experience maintaining accurate records for operational, reporting, compliance or audit purposes.
- Strong organisation and prioritisation skills, with the ability to manage several activities and deadlines.
- Good written and verbal communication skills and the ability to work collaboratively with a range of stakeholders.
- Excellent attention to detail, with the ability to identify omissions or inconsistencies and follow up actions.
- A practical, proactive approach to problem-solving and confidence learning specialist systems and procedures.
- A commitment to road safety, environmental sustainability, compliance, confidentiality and continuous improvement.
