The role

Oxford Lifelong Learning in the Department for Continuing Education is seeking to appoint a full-time Courses Administrator to provide high-quality administrative and customer service support within the University of Oxford's Language Centre.

About the role

This is a full-time, permanent position based at the Language Centre, 12 Woodstock Road, Oxford, with working hours of 09:00-17:20. The role is predominantly office-based due to its customer-facing responsibilities and the need to work collaboratively with colleagues.

As a key member of the administrative team, you will play an important role in supporting the smooth running of the Language Centre's courses. You will be responsible for a range of course administration activities, including processing student enrolments, managing course bookings and transfers, maintaining class registers and timetables, and responding to enquiries from students, tutors and colleagues.

You will also undertake day-to-day financial administration, including raising invoices and requisitions, processing refunds and maintaining accurate financial records. Alongside these responsibilities, you will contribute to reception services, provide basic IT and classroom support, and assist with general administrative duties.

This varied role requires excellent organisational skills, attention to detail and the ability to manage competing priorities while delivering a consistently high standard of customer service.

About you

You will be educated to A level (or equivalent) and have significant administrative experience, ideally within a busy, customer-focused environment.

You will demonstrate:

  • Excellent organisational skills, with the ability to prioritise a varied workload and meet deadlines

  • Strong verbal and written communication skills, with a professional and approachable manner

  • Experience of financial administration and maintaining accurate records

  • Good IT skills, including Outlook, Word, Excel and database systems

  • Excellent customer service skills, with experience of responding to enquiries in person, by telephone and by email

  • The ability to work independently, use initiative and exercise sound judgement

  • A flexible, proactive and collaborative approach to working within a busy team

Experience of working in Higher Education, using web content management systems or financial systems such as Oracle Financials would be advantageous.
