The role
HR Assistant
Office based, Dumfries | £27,976 to £30,946 | Monday to Friday, 9am to 5pm
Keep people processes moving. Empower our teams to look after vulnerable young people.
We are looking for a confident and highly organised People Assistant to join our People Team.
This is a varied, hands-on role supporting recruitment, onboarding and HR processes across Greenleaf. You will work closely with care managers, helping them follow processes, keeping important tasks on track and making sure deadlines, records and compliance requirements are not missed.
You will need to be comfortable taking ownership of your workload, following up with managers and working independently without needing close day-to-day supervision.
What you'll do
You will support the People Team across the employee lifecycle, including:
- Coordinating recruitment, interviews, references and safer recruitment checks
- Preparing contracts, onboarding documents and induction arrangements
- Maintaining HR systems, data maintenance, employee records and compliance documentation
- Supporting managers with absence, probation, flexible working and other routine HR processes
- Monitoring deadlines and following up with managers when actions are outstanding
- Responding to day-to-day HR and administrative queries
- Preparing letters, audits, reports and employee documentation
- Supporting investigations through note-taking, document collation and timelines
- Helping to manage leavers, exit processes and employee feedback
- Supporting staff wellbeing, engagement and employee voice activities
- Contributing to the company newsletter and wider internal communications
The person we’re looking for
You will be someone who:
- Is exceptionally organised and able to manage competing priorities
- Has strong time-management skills and follows tasks through to completion
- Is confident communicating with managers and respectfully challenging or chasing when needed
- Can keep processes moving and hold others accountable for agreed actions
- Works with accuracy and pays close attention to detail
- Is comfortable working independently and using their own initiative
- Communicates clearly and professionally
- Handles sensitive information with discretion
- Is confident using IT systems, databases and Microsoft Office
- Enjoys improving processes and bringing structure to a busy workload
Why this role matters
Although this role is based at Head Office rather than within one of our homes, your work directly supports the teams caring for our children and young people.
By keeping recruitment, onboarding, employee records and HR processes well organised, you will help managers focus on leading their teams and delivering consistent, high-quality care.
Ready to join our People Team?
If you are organised, confident, dependable and comfortable taking ownership of a busy workload, we would like to hear from you.
Apply today and help us build the strong, well-supported teams that make a difference for our young people.
